Field Group Bundles
How to configure and manage Field Group Bundles in Namely.
The Basics
Field group bundles are collections of employee profile fields that you want an access role to be able to interact with in some way. For example, a bundle could contain the fields you want an access role to be able to see on their own or others’ profiles, or to edit for themselves or their direct reports.
Bundles have no power on their own and only become active when combined with a field group bundle permission on a specific access role. In other words:
-
The field group bundle defines a set of profiles fields an access role can view, edit, or request a change to.
-
The field group bundle permission defines the employee population for whom the access role can view, edit, or request to change a set of fields (the field group bundle).
Default Field Group Bundles
Namely provides a group of default field group bundles that, when assigned to an access role and scoped to a certain employee population via their corresponding field group bundle permissions, are to be used for the following purposes:
-
Basic All — These are the profile fields you want all employees to be able to see on all other employees’ profiles.
-
Basic Edit Self — These are the fields you want an employee to be able to edit on their own profile.
-
Basic Read Self — These are the fields you want an employee to be able to view on their own profile.
-
Basic Request Self — These are the fields you want an employee to be able to request a change to on their own profile.
-
HR Admin Edit — These are the fields you want a user in the HR Admin role to be able to change for other employees.
-
HR Admin Read — These are the fields you want a user in the HR Admin role to be able to view on other employees’ profiles.
-
Manager Reports to Edit — These are the fields you want a user in a Manager access role to be able to change for their direct reports.
-
Manager Reports to Read — These are the fields you want a user in a Manager access role to be able to view on their direct reports’ profiles.
-
Manager Reports to Request — These are the fields you want a user in a Manager access role to be able to request to change for their direct reports.
Creating New Field Group Bundles
When creating a new access role, we recommend creating the following field group bundles to support it:
-
[Access Role Name] Edit — These are the profile fields the access role can change for a certain set of users.
-
[Access Role Name] Read — These are the profile fields the access role can view for a certain set of users.
-
[Access Role Name] Request — These are the profile fields the access role can request to change for a certain set of users.
Accessing Field Group Bundles
Field group bundles are located in their own section of Company > Settings, separate from where one manages other access role permissions.
To create a field group bundle:
-
Go to Company > Settings > Field Group Bundles.
-
Enter a name for the field group bundle.
-
Click Add Field Group Bundle.
-
Click View Grid.
-
Select the fields you want to include in the bundle.
-
Click Save.
Once you have created a bundle, you’ll need to scope it to a specific employee population for its intended access role. See Field Group Bundle Permissions for more information.
